SlideRocket’s Collaborate features lets users give access to Presentations, Slides, Media, Themes, and folders to other SlideRocket users. Users can give others edit or view-only access to materials. Lite users can only give access to materials to other users within his or her SlideRocket company. Trial, Pro, and Enterprise users can grant access to any other Trial, Pro, or Enterprise user, regardless of their company.

 

There are two ways to collaborate materials between accounts:

  • Collaborate individual items: This method is recommended if there are only a few items that will be collaborated, or if each item needs a different set of collaborators
  • Collaborate multiple files using folders: This method is recommended if there are many items that will need to be collaborated with the same set of people

 

It is recommended to think through workflow carefully, including how many files will be collaborated and with whom. Using this information to set up folder structure and permissions, and collaborating with other users in a systematic way, can greatly reduce confusion later.

 

This document covers

 

Collaborating Individual Items

  1. Right-click item in library and select Collaborate or double-click item in library and click Collaborate tab
  2. Set Access Permissions for item
    • Only me: This item is private and can only be viewed and edited by its creator
    • Everyone in my company: All users in company can view and edit item
    • The following people and groups only: Type username or email for individual or name of group then click Add button addbutton.png. Click down arrow next to Add button to view list of all users and groups in company

  3. For any users or groups added, permission level can be changed from Edit to View. Users with View permission can not make any changes to presentation

  4. Send email notifications is automatically turned on. Click box to to turn off, click again to turn back on
  5. Click Apply changes 

 

ADVANCED NOTE: Individual items that have been collaborated with other users will appear in those users’ accounts under [User Shared Folders] in a folder with name of creator

 

 

Collaborating Individual Items with Shared Folder Permissions

If there are already existing permissions set for item in a Shared Folder, additional specific permissions can be set. 

  1. Right-click item in library
  2. Select Collaborate. This can also be accessed by double-clicking item in library and clicking Collaborate tab
  3. Type username or email for individual or name of group then click Add button addbutton.png

  4. For any users or groups added, permission level can be changed from Edit to View. Users with View permission can not make any changes to presentation
  5. Send email notifications is automatically turned on. Click box to to turn off, click again to turn back on
  6. Click Ok

 

ADVANCED NOTES

  • Individual items that have been collaborated with other users will appear in those users’ accounts under [User Shared Folders] in a folder with name of creator
  • If item is not allowed to be shared, a pop-up will appear

Collaborating Using Folders

Shared Folders can act as a hub between multiple users, allowing groups to collaborate efficiently on a set of items. Permissions defined on a shared folder are applied to all items contained in that folder. Each library(Presentation, Slide, Media, and Theme) has its own folder structure.

 

Creating a Shared Folder

  1. Click Add button plus.png next to Shared Folders
  2. Enter name for folder
  3. Click Ok
  4. Set Access Permissions for folder
    • Only me: All contents of folder are private and can only be viewed and edited by creator
    • Everyone in my company: All users in company can view and edit items in folder
    • The following people and groups only: Type username or email for individual or name of group then click Add button addbutton.png. Click down arrow next to Add button to view list of all users and groups in company

ADVANCED NOTES

  • If option Everyone in my company is selected permission level is automatically set to Edit. To restrict everyone in company to View, add Everyone group under The following people and groups only and then set permission level for that group to View
  • All items added to a shared folder automatically inherit folder’s permissions
  • To deselect a folder, use Ctrl click (Windows) or Cmd click (Mac)
  • Shared Folders can only be deleted if folder does not contain any items or subfolders
  • Shared Folders can easily be organized by dragging them to new locations. For example, a folder can be dragged and dropped onto another folder to make a subfolder

  1. Right-click folder that will be parent folder and select New Folder
  2. Enter name for folder
  3. Click Ok
  4. Set Access Permissions
