Linking Google Docs to Charts

SlideRocket charts can be linked to Google Spreadsheets, with the chart automatically updated with the most recent information in the spreadsheet. There are 2 options for linking a chart to a Google Spreadsheet:

  • Google Apps Spreadsheet list (Google Apps users only)
  • Public URL Link (all users)

 

Before a SlideRocket chart can be linked to a Google Spreadsheet the spreadsheet must first be Published as a web page.

Uploading a File to Create a Google Apps Spreadsheet

  1. Log in to Google Docs
  2. Click Upload button 
  3. Select Files...
  4. Find spreadsheet on computer
  5. Click Open
  6. Choose preferred Upload settings for Google Docs
  7. Click Start upload

 

 

Formatting the Google Spreadsheet 

A Google Spreadsheet that will be linked to a SlideRocket chart can have up to 20 columns and up to 20 rows. Chart series and row labels need to placed in the follow cells in order to be incorporated into the SlideRocket chart.

  • Chart series labels should go in Row 1 of spreadsheet, starting with Column B
  • Chart row labels should go in Column A starting with Row 2
  • No data should go in cell A1. This cell will be ignored

 

 

Publishing a Google Spreadsheet as a Web Page

  1. Open spreadsheet in Google Docs
  2. Click File
  3. Select Publish to the Web...
  4. Check Automatically republish when changes are made
  5. Click Start publishing 
  6. Copy and paste link to public data into SlideRocket
  7. Click Close

 

ADVANCED NOTE: Formatting from the Google Doc is not preserved. The SlideRocket theme’s default style for tables will be applied instead.

 

 

Linking a Chart to a Google Spreadsheet Using the Publish URL Link

Before the Google Spreadsheet can be linked to a SlideRocketchart, the spreadsheet must first be published as a web page. For instructions on how to publish a Google Spreadsheet to a website click here.

  1. Open presentation in Presentation Editor 
  2. Select chart to link to Google Spreadsheet
  3. Click Element-Specific Properties tab 
     
  4. Click Link to Google Spreadsheet...
  5. Paste the spreadsheet publish URL 
  6. Check Keep this chart synchronized with the Google spreadsheet to have chart automatically update when Google spreadsheet is updated
  7. Click Ok

 

ADVANCED NOTES:

  • Google has a 5- to 10-minute delay before publishing changes so updates made to a spreadsheet will not appear in SlideRocket immediately
  • If the chart is not set to automatically synchronize with the spreadsheet, the chart can be manually synchronized by clicking Refresh Google Spreadsheet in the menu to the right
  • Charts can be linked to Google Spreadsheets with up to 20 columns and 20 rows

 

 

Linking a Chart to a Google Spreadsheet Using the Google Apps Spreadsheet List
